Can an AI answer my reservations line? A hotel operator’s guide
It can — and at other properties it already books hundreds of rooms a week. Here’s how to tell a real booking agent from a glorified voicemail, in four questions.
The short answer is yes. At one large hotel group, an AI agent handles about a third of central-reservations calls and completes 300-plus bookings a week, with payment captured. The longer answer is that most “AI voice for hotels” products can’t actually book a room, so evaluate on four questions.
1. Does it book, or just deflect?
The dividing line in this category is booking with payment versus answering FAQs. Deflecting “what time is checkout” is commoditized. Completing a reservation — quoting the real total with taxes and resort fee, holding the room, taking the deposit — is where the money is, because most of your revenue-bearing calls come in by phone. Make a vendor complete a real booking in the demo.
2. What happens at the hand-off?
Every operator’s fear is a bot trapping an angry guest. The agent must warm-transfer the moment anyone asks for a person — and when the front desk doesn’t pick up, the system should tell you so, by name. A product that emails you the call context two minutes late has been called “a glorified voicemail system” by its own users. Ask what the console shows when a transfer fails.
3. Does it write to your PMS, or just read from it?
“Integrates with” and “writes to” are different claims. Reading availability is easy; writing a confirmed booking back to the right record — and proving it landed — is where systems break. Insist on a verifiable receipt: the actual PMS record id, written back and confirmed, not a bare “booked” the agent asserted.
4. Is it compliant by default?
The agent should disclose it’s AI on every call, never take a card number by voice (payment goes by secure link), and record with the right consent for your state. At a resort, keep it clear of loyalty-comp decisions and sensitive guest data, which pulls toward regulated territory.
Voice quality is table stakes and nearly solved. The console — whether you can see what happened, fix what’s wrong, and prove a booking landed — is where these products actually differ, and where you should spend your evaluation.
See it answer your line — and book.
